Navigating the Workflow Editor
The editor is divided into three main sections:
Left Sidebar: Displays the sequence of steps in your workflow (e.g., Form, Inbox, Qualify).
Center Panel (Step Questions): Allows you to add specific criteria or rating systems for the selected step.
Right Panel (Step Setup): Contains the configuration settings for the selected step, including permissions and visuals.
Adding and Selecting Steps
Add a New Step: To add a new stage to your process, click the Add step button located at the bottom of the left sidebar.
Select a Step to Edit: Click on any step in the list (e.g., Qualify) to view and edit its details. The active step will be highlighted with a border.
Configuring Step Details
Use the Step setup panel on the right side to define how the step behaves:
Panel (Reviewers): Click the Panel icon to designate specific users responsible for reviewing contributions at this stage. This is ideal for assigning experts to specific phases (e.g., Legal Review or Feasibility Check).
Reminder Days: Set the number of days before a reminder is sent to the collection managers after a contribution enters this step.
Name and Description:
Name: Give the step a clear title (e.g., "Qualify").
Description: Provide instructions or context for what happens in this stage. This helps users understand the criteria for moving items forward.
Color: Select a color dot to visually categorize the step in the workflow timeline.
Managing Step Questions
In the center Step questions panel, you can define what data needs to be gathered during this phase.
Click Add question to insert new fields or rating scales.
Example: In the "Qualify" step shown, a "Three lenses of innovation" rating question has been added to help score ideas.
Additional Settings
At the bottom of the right panel, you can toggle specific visibility options under Step settings:
Hide contributions: Toggle this On if items in this step should be hidden from general view.
Enable reactions: Toggle this On to allow users to react (e.g., like or comment) to items in this stage.
Warning: The Danger zone at the bottom right allows you to permanently Delete the step and all associated data. Use this with caution.
