1. Introduction

At the heart of every collection lies Workflows. All collections are built upon a workflow, aimed at aiding you in establishing repeatable processes that are simple to follow, facilitating the discovery of the best ideas within your various collections.

Collections may be associated with distinct workflows based on your specific collection goals and objectives.

To modify or create new workflows, you must have Admin privileges in your Hive. As an Admin, navigate to the admin portal and find "Collection Workflows."

Here's everything you need to know to create new workflows or adjust existing ones to suit your needs.

2. Creating a new workflow

To create a new workflow, click "+ Workflow" once you're inside Collection Workflows in the Admin portal.

You will be presented with the following:

Name:

This is the name you want to assign to the workflow.

What are you collecting?

Choose from five options: Ideas, Insights, Posts, Feedback, and Solutions. This determines what the submission button will be named for contributors and how the input you collect will be referenced in the collections using this workflow.

This field lets you customize the text displayed on the button users click to create a new contribution within any collection using this workflow. Example: "New Idea," "Give Feedback," etc.

Once satisfied with your choices, click "Save." You can always make adjustments later.

3. Adjusting Steps, Actions, and Content of Your Workflow

Within every workflow, whether new or existing, you have the flexibility to add various steps and features. Here's a guide on how to use them:

3.1. Steps

Steps represent the process through which collected ideas progress, similar to the steps shown in the image below. When creating steps, consider outlining the best way to indicate the current status of an idea.

Note that the "Inbox" step is a default step that is locked, where all new ideas land when submitted in a collection.

3.2. Fields

Fields are useful for adding additional information or data to an idea. You can add a "Text field" for plain free text and a "Multi-select" field to pre-populate alternatives.

Fields must be related to a specific step and can be related to the Inbox step. They are visible to contributors, managers in the collection, and admins.

3.3. Scoring

Scoring is a popular feature in Hives, allowing you to qualify, evaluate, or judge an idea. To add a new scoring model, click "+ Create" and fill out the form.

In this form, you can fill out the following details:

Name:
Specify the name for the scoring chart.

Type:
Choose between "Radar chart," providing the option to use between 3 and 8 parameters in your scoring chart, and "Bubble chart," which is limited to 3 parameters, displaying the scoring as bubbles on the chart later on.

Step:
Select the step on which the scoring chart will appear.

Who can see results and score:
Choose from three options:

"Collections managers" will grant managers in a collection access to scoring.

"Contributors" allows contributors on an idea to score it.

"Everyone" permits anyone who can see the idea to score it.

Once you are satisfied with your choices, simply click "Save."

After saving, you can adjust parameters in your scoring chart by clicking on them.

When you open a parameter to adjust it, you will have the opportunity to choose between:

Label:
This will be the name of the parameter, for example, "Business Value" or "Easy to Implement."

Min value / Max value:
This represents the scale on which you score this parameter.

Description:
A brief helper text that will be shown to individuals who can score.

Once you have configured the parameter with your desired settings, simply click "Save."

3.4. Categories

Categories come in handy for sorting and filtering ideas. If you create categories in a Collection Workflow, they will appear in all idea forms in collections based on that workflow.

To create a new category, click "+ Create" and name the category.

3.5. Form

In this tab, you can decide whether people can add images when they submit ideas or not.
